Terms and Conditions
Every AirBilbao member commits to comply with the Airline’s Regulations and Policies, which are published on the Company’s website. Any subsequent changes will be communicated to all members through the most appropriate means. Any violation of AirBilbao’s policies and regulations may result in a temporary suspension or, depending on the severity of the violation, permanent removal from the Company.
Access information
The username and password provided to each AirBilbao member are their exclusive identification. No user may allow their credentials to be used by anyone other than the account holder.
Members must use their full real name at the time of registration. Incomplete, incorrect, or misleading information may result in account deletion.
Enrollment and registration
All members must provide a valid email address. If the email address changes, the user must use the online form to update it in the AirBilbao Virtual database.
If the password is correct, the database will be updated and a confirmation email will be sent to the new email address.
In case of any issues, the user must contact the Human Resources Department. Accounts with invalid email addresses will be removed.
Password recovery
In case of forgotten or lost passwords, the user must use the online recovery form. The form will request the pilot ID, first name, last name, and email address.
If the information matches the VAC database, an email containing the password will be sent.
Password change
To change the password, the corresponding online form must be used. If the information provided matches the VAC database, the password will be updated.
This form is available in the pilot’s logbook.
Account procedures
All pilots must enroll in the Flight Academy within the first 14 days after successfully completing registration.
Pilots may request a leave of absence for a maximum of 6 months. After this period, membership will be revoked unless an extension has been granted by the Governing Bodies upon request by the pilot.
Active pilots must maintain an annual average of three flights per month. Pilots who fail to meet this requirement will be removed from the roster unless they request a LOA (leave of absence) through their Fleet Manager.
All flights must be filed using a valid flight code assigned by the flight manager. Flights not registered in the system or not compliant with regulations will be rejected.
Pilots submitting falsified flight reports will be immediately suspended. Any pilot flying unauthorized routes will have their PIREPs rejected.
Each pilot may only submit PIREPs for aircraft types for which they are certified. Repeated violations may result in suspension or expulsion.
When flying online (IVAO, VATSIM, etc.), pilots are recommended to use the assigned flight callsign (e.g., ABI0001) correctly identified as an AirBilbao pilot.
All new members and veteran pilots must read and comply with standard operating procedures.
General policy
Registration is limited to individuals over 18 years of age. Minors must provide explicit written consent from a parent or legal guardian. Accounts without such consent will be immediately suspended.
The Airline is open to all individuals regardless of race, creed, color, sex, or nationality.
AirBilbao Virtual is a non-profit organization and does not charge registration or maintenance fees.
No member may request money, resell services, or make commercial use of the website or forums. Violation of these rules may result in expulsion.
Members must always be courteous and respectful. Harassment, threats, or personal attacks are not permitted.
Members represent AirBilbao Virtual at all times and must not damage its reputation or violate the rules of other organizations.
General regulations
Art. 1
The AirBilbao Board of Directors is a sovereign body with decision-making authority and may adopt any measures deemed appropriate for the proper functioning of the Airline.
Departments, Sections, Committees, or Working Groups may be created, whose decisions will always be subject to approval by the Board of Directors.
The Operations Department, Flight Academy, and Executive Management are hereby established.
Art. 2
All decisions made by the Governing Bodies are binding and not subject to appeal.
Art. 3
Suggestions may be submitted to the Governing Bodies and may be considered and answered.
Art. 4
Members must be of legal age and comply with the decisions of the Governing Bodies.
Members aged between 14 and 18 must provide explicit written authorization from their legal guardians.
Art. 5
Contemptuous behavior, offensive language, and racial or political messages will not be tolerated.
Art. 6
The Governing Bodies will act as mediators in disputes between members and will issue binding resolutions.
Art. 7
Holding membership in AirBilbao while occupying management positions in other virtual airlines is incompatible unless expressly authorized.
Art. 8
All members must be subscribed and active on the AirBilbao mailing list.
Art. 9
All new members will be registered as Student Pilots and must complete the required courses to advance.
Art. 10
Proper configuration of Discord and Skype is mandatory, and microphone use is required during flights.
Art. 11
All members must read the published NOTAMs.
Art. 12
Recording sessions or conversations without explicit authorization is prohibited.
Academy
Art. 13
The Academy and Governing Bodies will be available to resolve questions and evaluate suggestions.
Art. 14
The Academy will review proposals for new courses.
Art. 15
A pilot may be summoned a maximum of 4 times to a course. Failure to attend will result in immediate dismissal.
Art. 16
Non-compliance cases may be reviewed upon written submission of allegations.
Art. 17
During the VFR period, AIRBILBAO ACARS will be used.
Art. 18
After passing VFR and starting IFR (Tour of Spain), AIRBILBAO ACARS will be mandatory.
Operations
Art. 19
Each pilot must complete a minimum annual average of 3 monthly flights on IVAO or VATSIM at x1 simulation speed.
Art. 20
Failure to comply will result in rank downgrade.
Art. 21
A third repeated offense will result in permanent dismissal.
Art. 22
All flights must be reported using AIRBILBAO ACARS.
Art. 23
All flights using the AirBilbao callsign must be conducted on IVAO or VATSIM.
Art. 24
At least 90% of flights must be operated with the assigned fleet.
Art. 25
Flight plans and fuel consumption will be reviewed. Irregularities will require refresher training.
Art. 26
Repeated failures may result in suspension or expulsion.
Art. 27
Operations and Fleet Managers will assign routes.
Art. 28
Each pilot is responsible for preparing a correct flight plan.
Art. 29
CPL pilots must successfully complete annual Qualification Flights.
Art. 30
PIREPs must include all required information.
Art. 31
Qualification Flights in MCC are permitted under established conditions.
Art. 32
Failure to complete the Qualification Flight will result in downgrade or expulsion.
Art. 33
A punctual delay of the Qualification Flight may be requested.
Art. 34
Irregularities will be sanctioned at the discretion of the Governing Bodies.
Art. 35
Flying unauthorized aircraft is prohibited.
Art. 36
New pilots may not fly using the ABI callsign until released by an instructor.
Executive Management
Art. 37
Executive Management will manage the company under the supervision of the Board of Directors.
Promotions
Art. 38
Promotions will depend on flight hours and theoretical-practical examinations.
Art. 39
Members may request direct promotions through examination.
Art. 40
Real-world pilots will be ranked according to their experience.
Art. 41
Real-world ATCs will be registered as VFR Student Pilots.
Art. 42
All members must be familiar with and comply with the current regulations.
Sanctions
Art. 43
Sanctions will be decided exclusively by the Governing Bodies.
Art. 44
Submission of racist, political, or illegal content will be sanctioned.
Art. 45
After accepting these regulations, the applicant must complete the membership application.
Personal data confidentiality
Registered personal data will be used internally and exclusively for communication purposes, in accordance with Data Protection Law 15/1999.
Privacy policy
1. Introduction
During AirBilbao VA registration, only the user’s email address is stored.
This information is used exclusively for direct communication with users.
2. Stored information and usage
Only the email address is requested for future contact.
User progress within the Company’s services is also stored.
3. Session cookies
Session cookies are used to identify the user during navigation.
4. Information visibility
Information will only be accessible to authorized AirBilbao VA personnel.
5. User rights
Users may request access, modification, deletion, or blocking of their data in accordance with the law.
Identity verification
AirBilbao VA may request proof of identity if necessary. The information will be destroyed after verification.
